Issue#41: Tableau - How does Extract Filters and Data source filters vary the size of the Tableau Extract?

  • In Tableau 8.2 Data Source filters and Extract Filters used to work in the same manner.

    However in Tableau 9.0.4 both filters works differently.

    Extract Filter:

    As the name implies extract filters are used to filter out the data while creating the extract.

    Example: Let’s say we have database with the data for different countries as shown below

    1. USA –                    5000 rows
    2. Canada –             2000 rows
    3. India                      10000 rows
    4. Australia              1500 rows

    If we apply the Extract filters to bring the data only for USA (Country=USA), Tableau creates the Extract (.tde) just for the Country USA and ignore the data for all other countries.

    Size of the Extract is always proportionate the Extract filters.

    #of rows in the extract: 5000 rows for country USA  Size of the extract is smaller

    Data Source Filters:

    In Tableau 9.0.4 applying Data source filters won’t change to the volume data and size of the extract. Instead data source filters applies the filters to the background query when we use any of the dimensions or measures in the visualizations.


    If we apply the Data Source filters to bring the data only for USA (Country=USA), Tableau creates the Extract (.tde) with the full volume of the data for all countries (not only for USA) and there won’t be any relationship between the data source filters and the size of the extract.

    #of rows in the extract: 18,500 (for all countries) size of the extract is larger compared to the Extract filters


    However there won’t be any change the way we use the dimensions and measures using both the extracts in the Visualization. Both should work as expected and will show the data only for USA.


    Extract Filters: Pre condition filters before Extract creation.

    Data Source Filters: Post Condition filters while displaying the data in the Visualizations (applies to the query while pulling the data from extract) and won’t apply during the extract creation.


    If you apply Extract filters and Data source filters together, Data source filters overwrite the extract filters and size of the extract will always be larger.

    Hi, I have created few action filters on my source sheets of a dashboard which should ideally show the data on the target sheet for only the values I am clicking on source sheet. But when I click on a particular value of source sheet table, it shows full data from the extract I am using for the tableau dashboard and not the selected data. I am not sure it is a bug or I am missing something here. I have attached a sample tableau workbook. For example when I click on value most bottom-left value '2'  in Pro-active monitoring tool dashboard, it should direct me to View data dashboard with 2 rows. But instead it is showing me all the rows from the extract I am using for this tableau workbook. To add more info, I can see that the target sheet is getting a filter after clicking on source sheet which includes 4 dimensions in it.     I have a SQL query that's published onto the server.Live connection -> Extract -> Publish to server with embed credentials -> Use the TS data source in the workbook, those are the steps i followed. Now due to a sql server upgrade, I have been kicked out of the database for a while (i.e. I am not able to log in to the database with my credentials like before) and hence would expect my extract to not refresh and throw an error/alert.But it works just fine! To my understanding, TS was just automating this process for me. It would talk to my database server as 'me' and get the data.When I myself don't have access how is TS talking to it? :/ So,is it simply refreshing an old extract without adding new data? orit doesn't care about user credentials anymore as the Server address and tables still exist in the database server? You might suggest to check if today's data is updated! but this is a contracts database.   • Issue#1193975: Tableau - How do I revert from an extract to the original data source?

    I created a workbook with several visualizations, and performance was not great, so I extracted data from the original data source. I used the options to aggregate data for visible dimensions and hide all unused fields. Now I need to make a change to one of the visualizations using a field that was not used previously and was hidden when I created the extract. I tried right-clicking on the extract, and unchecking Use Extract menu item. When I do this, it appears to revert back to the original data source it shows me all the fields. However, all of the fields that were hidden are now grayed out and I can't use them. I tried removing the extract, but that leaves me in the same position. Is there a way to revert back the original data source, adding the new field I need to the viz, and re-creating the extract short of rebuilding my whole viz? Thanks,Bryan Sparks

    Hello there! I wonder if anyone can help me with this. I have a workbook locally that I open using Tableau Desktop. It is connected to a SQL Server, and the Data Connection is set as to "Extract". Everytime I go to the "Datasources" tab and return to the workbook, Tableau runs an update on the extract and I have to keep waiting for a job that have already been done.     Morning, Probably user error here; however figured I would ask. I am using the beta for 9.3 in order to use "union" functionality. In doing so I have created a very large data set that has truly opened up worlds of better investigation for various challenges/questions around the office. Today I tried appending that file by adding a few more files to the large data extract via the 'Union' feature, which went fine; however when moving to a sheet Tableau went through the process of reloading the entire data set rather than just appending the two new files to the existing data set. Any users out there know if this is to be expected(?) or if there is a button/method that I am missing.   • Issue#239104: Tableau - Action Filters: Multiple source sheets for one target sheet

    Hi, On one dashboard, I need to incorporate an Apply button, a clear all from filter button, and a default values filter button.  The Apply button is a worksheet used as the action filter for the dashboard's worksheet view.  I am able to add an Apply button and clear all button by setting the Reset button (whose filters are set to All) as the source sheet to the Apply button, but when I add the second button filter (Default Values) as a source sheet to target sheet Apply (exact same process followed as clear all), I lose functionality of the buttons.   So basically it seems Tableau cannot handle two action filters on the same target sheet (Apply button worksheet for me), and this sheet is used to filter the dashboard. Any ideas? Thanks, Anthony

    Hi, I am having an issue connecting to Salesforce data.  Whenever I try I get an error message: "Tableau failed to create an extract.  This data source required an extract before you can start analysis. Click edit data source, and then click the sheet tab to create the required extract.Click continue to proceed without creating the required extract."  However, my colleague does not run into the same problem - even though we are using the exact same login details, and the same version of Tableau (9.2). Has anyone come across this problem before and figured out how to fix it?   Thanks, Adam

    Hi I am trying to extract data from a Packaged Workbook using Tableau Desktop. Normally when I extract data from Desktop (not using a packaged workbook) I choose where I want to extract the data to on my computer. When trying to do this using a packaged workbook it runs the extraction but I cannot choose where I want the file to go and I have no idea where it has put it on my computer! Does anyone know where it extracts the file to? Many thanks Kev

    I have a data source that has aggregated data that I am unable to figure out how to transform to enable me to create filters. The attached workbook contains three Dimensions: Student Category, Unitid, and Year.The workbook has nine Measures of enrollment data for various demographic groupings (by race/gender). I would like to create worksheets that show enrollment data, but then be able to filter not only on Race and Gender, but also various elements of the Student Category Dimension (such as UG, GR, DS, NDS, Other, Transfer, Continuing, FirstTime). Any thoughts?

    Hi, I was wondering if this is possible:I've got a Tableau report already that connects to an Excel data extract.  Every so often, the data extract needs to be overwritten - a new file is supplied.  Is there an object I can put on the report that the user can drop their Excel file?  The users and myself do not have a common area to put the file. I'd run the report locally because the user can't update the file that resides on my machine.  I'm hoping to publish the report and with the user being able to change or edit the data extract.

    Hi, I have a tableau workbook with 11 data sources and the workbook is published on the Tableau Server to be viewed by users.The tableau workbook is scheduled for data refresh on monthly basis, in case if the refresh fails i have to manually download the workbook from server and initiate the fresh extract for all 11 data sources from scratch.     I'm working with a very large dashboard and thus cannot share it, but I'll do my best to describe the problem. I am attempting to extract data in order to share this dashboard it is a map that has the data filtered by cancer type. The list of cancers in the filter is about 28 different types when the source is live. When I extract the data 9 of them vanish. I keep checking the extract and all are selected in the extract so I cannot determine why they are disappearing from the filter list. Thoughts?

  • Issue#24: Tableau - Make Server Extract Path Editable

    Some of our tableau users tend to publish extracts to the server while pointing to a local drive where the original data file reside. They later found that the refresh failed and realized that the path to the data set is the culprit. To remedy it, one has to republish a data source and replace data source. It may break the workbook and dashboard. I would propose to make the server extract path editable so that user can change it to a UNC path. This may save a considerable amount of effort from both users and support personnel.
